Features

What VCT does

  • Instant DVLA and DVSA lookup, then nightly checks. As soon as you add a registration, VCT fills in the make, model, fuel type, MOT expiry and full MOT history, and tax status and due date from DVLA and DVSA. Then every night it rechecks each vehicle's road tax with DVLA and its MOT (or HGV annual test) with DVSA. Admins can recheck one vehicle or the whole fleet at any time.
  • MOT and tax reminders you can set. Reminder emails on the days each company chooses, set separately for MOT and tax (by default 90, 60, 30, 14, 7 and 1 days before, on the day, and once overdue), a 30-day 'due soon' window and a weekly round-up email on the day each admin or manager chooses. Reminders pause when a renewal is already booked or recorded.
  • Full DVSA MOT history. Every test, advisory, mileage reading and the average annual mileage on each vehicle's page.
  • Daily walkaround checks on drivers' phones. Drivers tap each item green, amber or red in the phone's web browser (no app to install), with a note and photos for anything wrong. The checklist can be edited, for example with HGV items.
  • Defect work queue. Every red or amber item becomes work with an owner. A defect only clears when a later check marks the same item green.
  • Action centre. One page that says how many vehicles are road legal and lists what needs action, worst first.
  • Fleet table. Filter, edit in the row, choose columns, export and recheck with DVLA.
  • Bookings timeline. Who has which vehicle and when, long-term assignments, clash checks, and export to a spreadsheet or calendar file.
  • Service records and costs. Services, repairs and breakdowns on each vehicle, with mileage, cost ex VAT, an uploaded invoice and days off the road. Vehicle records also hold fuel card details, breakdown cover and notes, which drivers can see in the driver app.
  • Add vehicles one at a time or in bulk. Type a registration and the details fill in from DVLA and DVSA, or import a CSV of the whole fleet and see exactly what will change before anything is saved.
  • Compliance pack PDF. For a chosen period and depot: road-legal status, inspections, defects and how fast they were fixed, MOT tests, services and costs.
  • Calendar feed. Every MOT, tax and booked MOT date in Outlook, Google or Apple Calendar.
  • Grey fleet. Staff cars used for work sit next to company vehicles, with business insurance expiry. Drivers can add their own car.
  • SORN. SORN vehicles count as off the road and don't get reminders.
  • Users and roles. Admins run everything; managers see the Action centre, fleet, drivers and work queue; drivers only see their own vehicle. Pricing is per vehicle, with no per-user charge.
  • Driving licence check records. Record licence checks and consent, share DVLA check codes from the driver app and see when checks are due. Automatic licence checks with DVLA are coming soon.
  • Text message add-on. £10 a month for up to 200 texts: MOT, tax and insurance reminders and daily check nudges, sent 8am to 8pm.
Limits

What VCT doesn't do

So there's no confusion with other kinds of fleet software:

  • No GPS vehicle tracking or telematics.
  • No tachograph analysis or drivers' hours.
  • No operator licence (O-licence) management.
  • No PMI or safety inspection scheduling.
  • No Driver CPC tracking.
  • No automatic DVLA licence checks yet (licence checks are recorded; automatic checks are coming soon).
  • Trailers have no registration number, so VCT can't check them automatically. DVSA's heavy-vehicle test history starts in 2018.
  • VCT is not approved or accredited by DVSA. Its checklist can follow DVSA's walkaround check guidance.

How much does VCT cost?

£3.50 per vehicle a month for 10 to 24 vehicles, £3.25 for 25 to 49, £3.00 for 50 to 99, £2.75 for 100 to 149 and £2.50 for 150 to 200, ex VAT. The minimum is 10 vehicles (£35 a month). Over 200 vehicles, contact VCT for a price. Texts are an optional £10 a month.

Is there a contract or a free trial?

There's no contract: VCT is monthly and you can cancel at any time. There's no free trial; instead there's a live demo that looks up one of your own vehicles. A free plan for up to 5 vehicles is coming soon.

No. VCT doesn't do GPS tracking or telematics. It can sit alongside a tracking system.

Does VCT work for HGVs?

Yes. It checks each truck's road tax with DVLA and its annual test with DVSA every night, the same way as van MOTs, and the walkaround checklist can include HGV items. It doesn't do tachographs, O-licence management, PMI scheduling or Driver CPC.

Where is VCT's data stored?

In the EU: the app and database run in Frankfurt and uploaded photos and invoices are kept in EU storage. Customers can export all of their data at any time.
