Small fleet software

Fleet management software for small and mid-sized UK fleets

For trades, couriers and service businesses with 10 to 100 vans. VCT checks every vehicle's MOT and road tax overnight, runs drivers' daily checks on their phones and shows you what needs doing first. No trackers to fit and no contract to sign.

Who it's for

For the person who runs the vans alongside the day job

In most small businesses, nobody's job title is fleet manager. The vans belong to the office manager, the operations lead or the owner, on top of everything else they do.

VCT is built for that person. Open it and the Action centre tells you how many vehicles are road legal (taxed, with a valid MOT) and lists what needs action, worst first. If nothing needs you, you can close it and get on with your day.

  • MOT and tax checked with DVSA and DVLA every night, with reminder emails before anything runs out
  • A weekly round-up email on the day you choose
  • Works in a browser on a computer or phone, with nothing to install

What it replaces

One place for the jobs spread across three systems

Most small fleets run on a spreadsheet, a pile of paper check sheets and reminders in someone's calendar. Each works until the person who keeps it is off for a week.

The spreadsheet

VCT keeps the vehicle list and fills in MOT and tax dates from DVSA and DVLA itself, every night. Nobody has to type a date in again. See VCT vs spreadsheets.

Paper check sheets

Drivers do the walkaround check on their phone. Red and amber items reach the office straight away. More on the walkaround check app.

Calendar reminders

Reminder emails go out before an MOT or tax runs out, and a calendar feed keeps Outlook, Google or Apple Calendar up to date. See MOT and tax reminders.

No telematics

Fleet software without trackers

Plenty of fleet software starts with a tracker in every van. If you don't need to see where your vans are minute by minute, you don't need to pay for that. VCT works from your registrations: it reads MOT and tax status from DVSA and DVLA, and your drivers record their checks and defects on their phones.

There is no hardware to buy or fit, and no van has to come off the road for an installer.

Getting started

Set up by importing your spreadsheet

  1. Upload your CSV. Save the spreadsheet you already keep as a CSV and upload it. VCT matches the columns.
  2. Check the preview. See which vehicles are new, what changes on existing ones and which rows have a problem, before anything is saved.
  3. Recheck with DVLA. Run a recheck of the whole fleet straight away, or let the nightly DVLA and DVSA check fill in the dates.
  4. Add your drivers. They sign in on their phone's browser and do their first check.
What's included

Van fleet management in one price

Everything below is included for every vehicle, in the one monthly price.

Action centre

How many vehicles are road legal, and what needs action, worst first.

Fleet table

Filter, edit in the row, choose your columns, export, and recheck with DVLA.

Bookings

A timeline of who has which vehicle and when. Clashes are caught and long-term assignments are shown.

Work queue

Every red or amber item becomes work with an owner. A defect only clears when a later check marks it green.

Driver app

Daily walkaround checks on the driver's phone, with their vehicle's MOT and tax in plain words.

Compliance pack

A PDF for a chosen period and depot: road-legal status, inspections, defects and how fast they were fixed, MOT tests, services and costs.

Weekly round-up

One email a week to admins and managers on the day you choose.

Service records

Services, repairs and costs on each vehicle, next to its full DVSA MOT history.

Roles

Everyone sees what they need

  • Admins run everything: vehicles, drivers, bookings, imports, the weekly round-up and the compliance pack.
  • Managers see the Action centre, fleet, drivers and work queue, and take on defects.
  • Drivers do their daily check and only ever see their own vehicle.

So the owner can keep an eye on things, the operations lead can deal with defects and the drivers can get on with their checks.

Questions

Small fleet software FAQs

Do I need trackers or telematics to use VCT?

No. VCT works from your registrations. It checks road tax with DVLA and the MOT with DVSA every night, and drivers do their walkaround checks on their phones. There is no hardware to fit.

How long does it take to set up?

Most of the set-up is getting your vehicles in. Upload the spreadsheet you already have as a CSV, check the preview and import. Then recheck the whole fleet with DVLA straight away or let the nightly check run. We can help if your spreadsheet needs tidying first.

Can I cancel?

Yes. You pay monthly with no contract and no minimum term, so you can cancel any time.

What if I only have 6 vehicles?

£35 a month covers up to 10 vehicles, so 6 vehicles cost £35 with everything included. A free plan for up to 5 vehicles is coming soon. It will cover MOT and tax checks with reminders only.

Is VAT included in the price?

No. All prices are ex VAT. For example, 25 vehicles cost £81.25 a month ex VAT, which is £97.50 with VAT at 20%.
