Courier and delivery fleets

Fleet compliance for courier and delivery fleets

Vans go out early, come back late and change hands between drivers. VCT puts the daily walkaround check on each driver's phone, checks every van's MOT and road tax overnight, and keeps the records you need when a client or insurer asks.

Before the first drop

A walkaround check before the van leaves the yard

A driver on an early start doesn't want a clipboard. In VCT they open their phone's browser, see the van they have today and tap each item green, amber or red.

Anything amber or red reaches the office straight away with the driver's note. You hear about a cracked mirror or a soft tyre before the van is halfway through its round.

  • Nothing to install from an app store, and no paper sheets to collect
  • The driver sees their van's MOT and tax in plain words
  • Drivers can take a different van or hand one back without phoning the office
  • Drivers only ever see their own vehicle and details

The problems

Where delivery fleets get caught out

Courier and multi-drop work puts more miles and more drivers on each van than most fleets. That is where things slip.

Vans that change hands

A van can have several drivers in a week and move between depots. Each driver assumes someone else knows when the MOT is due. VCT checks every van with DVSA and DVLA every night, whoever is driving it.

High mileage

Multi-drop work wears tyres and brakes quickly. Drivers flag them on the daily check, and each van's DVSA MOT history shows advisories worth watching, such as a tyre near the legal limit, with mileage and average annual use.

Agency and temporary drivers

Add them as drivers and they do the same check on their own phone from their first shift. Record their licence check and consent in VCT and see when the next check is due.

Proving it later

When a client, insurer or auditor asks whether checks were done, the compliance pack PDF shows every inspection, every defect and how fast each one was fixed.

Defects

Every defect has an owner

A defect reported at 6am shouldn't wait for someone to read a sheet at the end of the day. In VCT, every red or amber item becomes work in the queue, with critical items at the top. Give it an owner and track it to done.

The defect only clears when a later check marks the same item green. A van doesn't drop off the list because somebody said it was sorted.

  • One work queue across every depot, worst first
  • See which drivers are checking and which aren't, over the last 30 days
  • Service records and costs on each van
How it works

From the yard to the record

  1. Import your vans. Upload the spreadsheet you already keep as a CSV. VCT shows exactly what will change before anything is saved.
  2. Assign drivers. The bookings timeline shows who has which van and when. Long-term assignments sit next to day bookings, and clashes are caught.
  3. Drivers check on their phones. Each driver does the walkaround check before the first drop. Amber and red items go to the work queue.
  4. VCT checks overnight. Road tax with DVLA and the MOT with DVSA, every night, with reminder emails before anything runs out.
  5. You see what needs action. The Action centre says how many vans are road legal and lists what needs doing, worst first.

MOT and road tax

MOT and tax checked every night

An MOT or tax lapse is easy to miss when a van moves between drivers or depots. VCT checks every vehicle's road tax with DVLA and its MOT with DVSA every night, and you can recheck one van or the whole fleet at any time. Reminder emails go out before anything runs out, with a Due soon window of 30 days. More on the MOT and tax reminders page.

Running 7.5 tonne trucks as well?

VCT reads HGV annual test results from DVSA the same way as van MOTs, and checks HGV road tax with DVLA. A new truck's first annual test is due 12 months after registration. See HGV fleet compliance for the detail.

GOV.UK explains that if your business uses goods vehicles with a gross plated weight over 3,500kg, you usually need a goods vehicle operator's licence. Some vehicles are exempt.

What VCT doesn't do. VCT doesn't manage your operator licence, schedule safety inspections or analyse tachographs. The compliance pack gives you inspection and defect records you can use at an O-licence audit.

Answers ready when a client or insurer asks

Clients and insurers may ask how you check your vans and how quickly you fix defects. The compliance pack is a PDF for a period and depot you choose. It covers road-legal status, every inspection, every defect and how fast it was fixed, MOT tests, services and costs.

  • A weekly round-up email to admins and managers on the day you choose
  • Text-message add-on: text drivers when the MOT, tax or insurance on their van is about to run out, or when they haven't done the day's check
  • Export everything at any time

Price

What it costs for a courier fleet

£3.50 per vehicle a month, falling to £2.50 per vehicle for bigger fleets (minimum £35 a month), ex VAT. Every vehicle costs the rate for your fleet's size band, with everything included. You pay monthly, with no contract.

For example, 18 vans cost 18 × £3.50 = £63 a month. 40 vans cost 40 × £3.25 = £130 a month. 120 vans cost 120 × £2.75 = £330 a month. Over 200 vehicles, get in touch.

Texts are the only add-on, at £10 a month for up to 200 texts. If prices go up, existing customers keep the price they signed up at. See full pricing.

Questions

Courier fleet software FAQs

Do drivers need to download an app?

No. VCT runs in the phone's web browser. Drivers sign in once and the check opens straight away, with nothing to install from an app store.

Can agency drivers use it?

Yes. Add them as drivers and they sign in on their own phone. They only see their own vehicle. You can record their licence check and consent in VCT. Automatic licence checks with DVLA are coming soon.

How do I know who has which van?

The bookings timeline shows who has which vehicle and when, including long-term assignments, and catches clashes. You can export it to a spreadsheet or a calendar file.

Does VCT work for 7.5 tonne trucks?

Yes. VCT checks each truck's road tax with DVLA and its annual test with DVSA every night, the same way it checks van MOTs. It doesn't manage operator licences, PMI scheduling or tachographs.

Is VCT approved by DVSA?

No. VCT is not approved or accredited by DVSA. The walkaround checklist is yours to edit, so you can match it to DVSA's walkaround check guidance for vans.

Is there a free trial?

There is no free trial. Enter a registration and your email on the homepage instead, and we'll email you a link to a demo with your own vehicle looked up live.

There's more on daily checks on the walkaround check app page, and on licences in our guide to licence checks for employers.
